Here are five key things to check for before agreeing on a run sheet for your Hotel Wedding Venue.
Supplier Arrival and Setup Windows
Ask the venue for specific external supplier set up times and compare against the supplier’s own setup times. This will highlight any possible problems, i.e. within 30 minutes.
Ceremony to Reception Turnaround
How long will it take for the hotel to transform your ceremony venue into your wedding reception? Where will your guests be during this time? Will there be a drinks reception and will this be written into the run sheet as a named time slot?
Meal Service and Overrun Handling
For each course of your meal, include the start time and estimated duration of the serving of this course. Also, in the unlikely event of a speech running over, will the kitchen hold for you, or will service continue?
Legal Notice and Registrar Timings
For civil ceremonies, registrars work to fixed time slots, so ensure that sufficient time has been allowed for the legal notice requirements of your wedding and that the time that the registrar is due to arrive has been confirmed in the run sheet.
Who Holds the Run Sheet on the Day
Ask who will be the main point of contact for the run sheet and how any changes on the day will be communicated to the relevant departments, such as the kitchen, bar and AV. This will usually be a member of staff from the hotel who is coordinating the wedding.
